Vendors

The Vendors section keeps all your vendor relationships organized in one place. For each vendor you can store their contact info, track quotes, set payment milestones, and log invoices.

Adding a Vendor

1. Go to My Vendors in the sidebar.
2. Click Add Vendor.
3. Enter the vendor's name, category (e.g. Photographer, Florist, Caterer), and contact information.
4. Click Save.

The vendor now appears as a card in your vendor grid.

Vendor Categories

Use categories to stay organized. Common categories include:

• Venue
• Catering
• Photography / Videography
• Florist
• Hair & Makeup
• DJ / Band
• Transportation
• Officiant
• Cake / Desserts

You can type any custom category when creating a vendor.

Adding Quotes

Multiple vendors often compete for the same role. You can add quotes from different providers under a single vendor card.

1. Open a vendor's detail page by clicking their card.
2. Click Add Quote.
3. Enter the quote amount and any notes.
4. Mark a quote as Selected once you've made your decision.

Payment Milestones

Most vendors require payments at specific points — a deposit, a mid-point payment, and a final balance. Set these up so you never miss a due date.

1. On the vendor's detail page, click Add Payment Milestone.
2. Enter the amount, due date, and a label (e.g. "Deposit", "Final Balance").
3. Mark a milestone as Paid when you make the payment.

Folia can send you email reminders before payment due dates. Enable this in Settings → Notifications.

Invoices

When a vendor sends you an invoice, you can attach it directly to their record.

1. Open the vendor's detail page.
2. Click Add Invoice.
3. Enter the invoice number, amount, date, and due date.
4. Attach a PDF or image of the invoice (optional).

Invoices are also accessible from Budgeting → Invoices for a full financial overview.

Vendor Notes

Each vendor card has a notes field for anything that doesn't fit the structured fields — contract details, special requests, or reminders. Notes are visible to all wedding workspace members.
