Guest List

Manage your wedding guests, households, labels, RSVPs, meal choices, plus-ones, and mailing addresses.

The Guest List is the foundation of your wedding planning in Folia. Every guest you add can have labels, a meal preference, a plus-one, an RSVP status, and a mailing address — all in one place.

Adding a Guest

  1. Go to Guest List in the sidebar.
  2. Click Add Guest.
  3. Enter the guest's first and last name.
  4. Optionally add their email, phone number, and mailing address.
  5. Click Save.

New guests take their place in last-name order with everyone else. To change the order or find someone quickly, see Sorting, Searching, and Filtering.

Deleting a Guest

Click the guest's name, click Delete Guest across from Edit Guest, and confirm. This can't be undone. If the guest is in a household, only the person you're looking at is deleted; everyone else stays on your list.

Grouping Guests into Households

A household is a group of guests who share an invitation and a mailing address, like a couple or a family. Grouped guests appear together on one row, joined by a bracket, and a single address request fills in everyone's address at once.

To group guests:

  1. Hover over a guest's row and click Group next to their name.
  2. Pick who to group them with. Guests who share their last name are suggested first, or you can search by name or email.

You can also choose Group with… from a guest's ⋮ menu, or tick the boxes next to two or more rows and click Group into household in the bar at the bottom of the screen.

To take one person out of a household, choose Remove from household from their ⋮ menu. To split up a whole household, tick its row and click Ungroup Household.

Grouping is done from the guest list on a tablet or computer.

Labels

Labels sort your guests into groups such as "Emma's Side", "College Friends", or "Work Friends", so you can see who's who at a glance and filter or export by group. Each label has its own color, from the same palette as your budget categories, and a guest can have as many labels as you like.

Creating Labels

  1. In the Guest List, click Labels at the top. On a phone, tap Add and choose Labels.
  2. Type a name, pick a color, and click Add Label.

Before you have any labels, Folia suggests a few to start with, such as each partner's side, Family, and Friends. Click one to add it.

A label name can be up to 40 characters and can't contain commas or semicolons. Each wedding can have up to 50 labels.

To rename a label or change its color, click the pencil next to it. To delete one, click the trash can. The label comes off everyone who has it, but the guests stay on your list.

Labeling Guests

  • One guest: in the Labels column, click the guest's labels, or the dash if they have none, and tick the labels to give them. Type to search, or type a new name and choose Create to make a label and add it in one step.
  • Several guests: tick their rows and click Labels in the bar at the bottom of the screen. A label only some of them have shows a dash. Click it to give it to all of them, and click it again to take it off all of them.
  • From a guest's details: open the guest and click Add labels or Edit labels in the Labels section. This is how you label guests on a phone, where each guest's labels show under their name.

Changes save as you make them.

Sorting, Searching, and Filtering

Sorting

The guest list opens in last-name order, A to Z. To change it, open Sort above the list and choose Last name, First name, Date added, Status, or Party size. The arrow next to Sort reverses the order, for example from Newest first to Oldest first. On a computer, you can also click the Guest or Status column heading, and click it again to reverse it.

Folia remembers your choice on each browser, so the list opens the same way next time. The couple always stays at the top, whichever order you pick.

Guests imported together from a spreadsheet are all saved at the same moment, so when you sort by Date added, each import is listed by last name. The Sort menu says so under Date added when your list has imported guests.

Searching

Type in the search bar to find guests by first or last name, in any order, so "Jane Doe" and "Doe Jane" both find Jane. Search also looks at email addresses, phone numbers, mailing addresses, and wedding party roles such as "Bridesmaid".

Capital letters, accents, and apostrophes don't matter: "jose obrien" finds José O'Brien. Phone numbers match however you type them, with or without spaces, dashes, or brackets.

Filtering

Click Filters to open the filter panel, and pick any combination:

  • Status: each RSVP status, such as Invitation Sent or Attending
  • Labels: each of your labels, or No label. This appears once you've added labels.
  • Meal: each of your meal options, or No meal chosen. This appears once you've added meal options.
  • Party size: households of 1 guest, 2 guests, or 3 or more
  • Wedding party: In the wedding party or Not in it
  • Dietary needs: Has dietary needs or None listed
  • Address: On file, Missing, or Requested, no reply (sent an address request but haven't filled it in)
  • Email and Phone: On file or Missing
  • Date added: Today, Last 7 days, Last 30 days, or Last 90 days

For address, email, and phone, a household counts as having one if anyone in it does. Picking two options in one section shows guests who match either, while each extra section narrows the list further. The button at the bottom counts the matching guests as you go, and nothing changes until you click it. Click Reset all to start over.

The filters you're using appear as chips under the search bar. Click a chip to change it, click its × to remove just that filter, or click Clear all to remove them all.

A household is listed when anyone in it matches. On a computer, the people in it who don't match are greyed out.

On a phone, the sort and filter buttons sit next to the search bar, and you choose the direction in the sort menu.

Plus-Ones

When a guest is bringing someone, add the two of them together as a Guest + 1. (Use Couple for two partners who are both invited.)

  1. Click Add Guest and choose Guest + 1.
  2. Enter the guest's name in the Guest section.
  3. Enter the plus-one's name in the +1 section if you know it. If you leave it blank, they're saved under your guest's name, such as "Jane Doe's +1", and you can rename them later.
  4. Finish the remaining steps and click Save Guest.

The two share a household, and the plus-one gets a green +1 badge next to their name in the guest list, their guest details, and the seating chart's guest lists.

To mark someone as a plus-one, or unmark them, open their record, click Edit Guest, and turn the +1 switch on or off.

Guests saved as just "+1"

If a guest is named "+1" or "Plus One" and shares a household with one other person, anyone who can edit the guest list is taken straight to the edit form when they open that guest, with a real name filled in, such as "Jane Doe's +1", and the +1 switch on. Nothing changes until you click Next through to Save Changes; click Cancel to leave them as they are.

Meal Choices

If your venue requires meal selections:

  1. Click Meal Options at the top of the Guest List.
  2. Add each meal option (e.g. Chicken, Fish, Vegetarian) and pick a color for it.
  3. In the Meal column, click a guest's meal to choose from your options. Each choice shows with a dot in that meal's color, so you can see the mix at a glance.

To undo a selection, open the guest's meal and choose Clear meal. Meal choices are included in exported guest lists.

Wedding Party

In the Wedding Party column, click a guest's role to add them to the wedding party or change their role. Roles are grouped into wedding party, junior wedding party, family, and other roles, and you can type to search (for example, "in-law").

To take someone out of the wedding party, open their role and choose Remove from wedding party. The couple can switch between Betrothed, Bride, and Groom, but can't be removed.

To see only wedding party members, click Filters above the list and choose In the wedding party.

RSVP Status

Each guest has an RSVP status:

StatusMeaning
PendingNo response yet (default)
AttendingConfirmed attending
Not AttendingDeclined

Update a guest's status by opening their record and changing the RSVP dropdown.

Collecting Mailing Addresses

Folia can send guests a unique link to submit their own mailing address — helpful for physical invitations.

  1. In the Guest List, click Collect Addresses.
  2. Folia generates a personalized link for each guest.
  3. Copy the link and email it to the guest.
  4. When the guest fills out the form, their address is automatically saved to their record.

Importing Guests from CSV

If you already have a guest list in a spreadsheet:

  1. Click the Import button in the top right.
  2. Download the CSV template and fill it in with your guest data.
  3. Upload the completed CSV.
  4. Review the import preview and confirm.

Labels in your spreadsheet

A column of groups, such as Labels, Tags, Group, Side, or Guest Of, is read as labels. Separate several labels in one cell with commas or semicolons, for example "Emma's Side, College Friends". Labels you already have are matched by name, whatever the capital letters, and new ones are created for you. The preview lists the labels that will be created before anything is saved.

A label name over 40 characters, or one past the 50-label limit, is left off. Those guests are still imported, and Folia tells you which labels were skipped.

Exporting Your Guest List

Download your guest list to keep in a spreadsheet, send to your venue or caterer, or print.

  1. In the Guest List, click Export. The button is hidden on narrow screens such as phones.
  2. Choose the guests to include. Households you've ticked in the list start out checked; with nothing ticked, everyone your search and filters show does. From there you can search by name or email, check guests one at a time, or use All, Attending, or None. Once you have labels, Label selects everyone with the label you pick, and each guest's labels show as colored dots next to their name.
  3. Pick a format:
    • CSV opens in any spreadsheet app.
    • Excel downloads an .xlsx workbook with each household shaded as one block and bracketed down the Name column, like in the guest list. Columns are sized to fit, the header row stays in view, and every column has a filter.
    • PDF is ready to print or share. Choose Table for one row per guest with their RSVP, meal, dietary needs, email, and phone, or Household cards for a card per household with its mailing address, plus each guest's dietary needs and notes.
  4. Click Export.

Households always stay together. The couple comes first, then everyone else in last-name order, with each household's guests listed next to each other. The CSV and Excel files name each guest's household in a Household column, alongside their name, labels, RSVP status, meal choice, dietary restrictions, whether they are a plus-one, wedding party role, email, phone, address, and notes.

The Labels column lists each guest's labels separated by commas, so a CSV you export can be imported again with its labels. Both PDF layouts show each guest's labels under their name.

To export just the guests with a label, filter the list by that label first. Only those guests start out checked when you click Export.
