Assigning Guests to a Seat
How to open a table, search for guests, and assign them to individual seats.
Seating guests is the heart of the seating chart. Every seat on every table is individually assignable, and Folia keeps track of who's seated, who isn't, and prevents the same guest from being assigned twice.
Opening a Table
To start assigning guests, double-click any table on the canvas. This opens the table's guest panel, which shows a visual diagram of the table with each seat labeled. You can also click directly on an individual seat circle — it opens the same panel and highlights that specific seat.
The panel has two views. The default Seats view shows the full table diagram with each seat as an assignable chip. The Meals view, toggled at the top of the panel, colors each chip by the assigned guest's meal choice — useful for reviewing per-table meal distribution once you're further along.
Assigning a Guest to a Seat
Each seat in the panel shows a dropdown. Click any empty seat chip to open a searchable guest picker. Start typing a guest's name to filter the list, then click their name to assign them. Their initials immediately appear on both the seat chip in the panel and the seat circle on the canvas behind it.
The guest list panel on the right side of the canvas shows all guests sorted by unassigned status. As you assign guests, their names move from the unassigned section to the seated section, and the running unassigned count in the header decreases. This makes it easy to see at a glance how many guests still need a seat.
Preventing Duplicate Assignments
Folia does not allow the same guest to appear at two tables simultaneously. If you assign a guest who is already seated elsewhere, Folia automatically removes them from their previous seat and places them at the new one. You don't need to manually clear the old assignment first — just assign them to the new seat and the old one updates on its own.
Seating the Couple
The couple of honor — typically the bride and groom — can be seated by name directly from the guest picker without needing a full guest record. Their names appear at the top of the search results and are visually distinguished on the canvas with special styling.
Removing a Guest from a Seat
To unassign a guest, open the table panel, click the seat chip showing their name, and select Remove from the dropdown. The seat returns to empty and the guest appears in the unassigned list again.
Moving Guests Between Tables
There's no drag-and-drop between tables — to move a guest, simply open their new table, click the target seat, and assign the guest. Folia handles clearing them from the old table automatically, as described above.
Viewing All Guests at Once
Click the Guest List button in the toolbar to open a full overview of every guest and their current seating status. You can search by name, filter to show only unassigned guests, and click any guest's row to jump to their table. This view is especially helpful in the final stages of planning when you're chasing down the last few unassigned guests.
