Exporting

Export your seating chart as a multi-page PDF to share with your venue, coordinator, and caterer.

PDF export is currently in beta. The export generates entirely in your browser and downloads automatically — nothing is sent to a printer or external service.

When your layout is ready, Folia can export it as a polished, multi-page PDF you can share with your venue coordinator, caterer, and anyone else who needs to know where guests are seated. The export covers the full floor plan, individual table assignments, and a statistical summary — everything a coordinator needs to run the reception.

Starting the Export

Click Export PDF in the toolbar. A brief confirmation dialog appears noting that the feature is in beta, then the PDF generates client-side and downloads automatically to your device. Depending on the size of your layout and guest count, generation typically takes a few seconds.

Folia also silently saves a copy of the export to your account so you can retrieve it later if needed.

What's in the PDF

The exported PDF contains three types of pages:

Overview Page

The first page is a full-canvas view of your floor plan — every table, venue element, and label exactly as it appears on screen. The couple's names and wedding date appear in the header, and if you're a planner with a logo uploaded in your branding settings, your logo appears here as well. This page gives coordinators the bird's-eye view they need to direct staff and orient themselves in the room.

Table Detail Pages

After the overview, the PDF includes one detailed page for each table. Each table detail page shows:

  • A scaled diagram of the table with seat positions labeled
  • The full list of guests assigned to that table, with their seat number
  • Each guest's meal selection, displayed both as text and with their meal color
  • Any dietary notes recorded on guest profiles

These pages are designed to be handed to service staff at the start of the reception. A server working Table 4 can pull that page and know exactly who is seated there and what each person ordered.

Summary Page

The final page is a statistical summary of the entire reception:

  • Total guest count and total seats
  • Per-meal totals (e.g. "Chicken: 42 / Fish: 28 / Vegetarian: 14") — exactly what your caterer needs for final order confirmation
  • A list of all venue elements placed on the floor plan
  • Any dietary notes flagged across all guests

The summary is the page most useful for the catering team. Print or forward it before the final headcount deadline.
